Welcome to Hey Trav, a travel planning company designed by travelers, for travelers. By accessing, browsing, or using our services, you agree to be legally bound by the following Terms and Conditions. These Terms govern all travel-related bookings, advisory services, payments, communications, and customer interactions.

Please read these Terms carefully. By continuing to use our services, you acknowledge that you have read, understood, and agreed to abide by them. If you do not agree with any part of these Terms, you must discontinue the use of our services immediately.

1. Company Overview

Hey Trav is founded and operated by Pranav and Sonam—a husband-wife team who transformed their passion for travel into a full-time business. We specialize in personalized travel services such as:

  • Domestic and international flight bookings

  • Custom travel packages

  • Luxury, leisure, honeymoon, and group tour arrangements

  • Visa and passport assistance

  • Hotel reservations

  • Travel insurance

  • Last-mile coordination and travel troubleshooting

Our commitment is to deliver stress-free, memorable, and value-packed travel experiences tailored to your vibe, not a brochure.

2. Eligibility to Use Services

You must be at least 18 years of age to use our services independently. If you are under 18, your bookings and travel services must be handled by a parent or legal guardian.

By booking with us, you confirm that all the information provided (passport details, traveler names, dates, etc.) is accurate and that you are legally capable of entering into a binding agreement.

3. Scope of Service

Hey Trav functions as an intermediary between travelers and service providers including airlines, hotels, visa centers, insurance companies, and tourism boards. We help facilitate:

  • End-to-end trip design

  • Booking and management of travel elements

  • Emergency coordination (where possible)

  • Documentation guidance (visa/passport)

While we act with care and due diligence, we do not operate flights, hotels, or embassies, and cannot be held responsible for the actions or decisions made by third-party providers.

4. Booking Process

To initiate any booking:

  • You must contact us via phone, email, or in person.

  • We’ll gather your travel preferences, budget, and timelines.

  • After a detailed discussion, a travel plan or itinerary will be proposed.

  • Once approved, a payment link or invoice will be shared.

4.1 Booking Confirmation

A booking is considered confirmed only after receiving full or agreed advance payment and a confirmation from the supplier (airline, hotel, embassy, etc.).

Until confirmation is shared with you in writing (via WhatsApp or email), prices and availability may change.

5. Pricing, Payments, and Taxes

All prices shared are based on real-time availability and subject to fluctuations.

  • Pricing includes taxes, but service fees will be mentioned separately when applicable.

  • You are responsible for paying full fare and fees as agreed.

  • Prices may vary based on currency fluctuations, fare class changes, or government policies.

  • All payments must be made via authorized channels (bank transfers, UPI, secure payment links).

Failure to make timely payments may result in cancellations or loss of discounts.

6. Changes, Cancellations & Refunds

6.1 Client-Initiated Changes

Changes to itineraries, names, travel dates, or services are subject to availability and provider rules. Modification fees may apply.

6.2 Cancellation Policies

Each service has specific cancellation rules set by the respective providers. Hey Trav will provide written policies before final booking. Key notes:

  • Flights: Refunds depend on fare type (refundable/non-refundable).

  • Hotels: Many hotels charge cancellation fees or offer partial refunds only.

  • Visa & Documentation Services: Non-refundable once application has started.

  • Packages: A detailed breakup of refundable and non-refundable components will be provided.

6.3 Refund Timelines

Refund processing may take 7–21 business days, depending on third-party timelines. Hey Trav will follow up and update you throughout the process.

7. Visa and Documentation Support

Hey Trav offers visa and passport advisory support, including:

  • Appointment bookings

  • Application form filling

  • Document preparation and checking

  • Guidance on interview procedures

However, the final decision lies entirely with the consulate/embassy.

We are not responsible for:

  • Visa rejection

  • Processing delays

  • Border/immigration denial

  • Errors in documents due to client-provided information

All service fees for visa assistance are non-refundable once work has commenced.

8. Travel Insurance

We strongly recommend purchasing travel insurance to protect against unforeseen incidents including:

  • Medical emergencies

  • Baggage loss

  • Trip cancellations or interruptions

  • Personal liability

Hey Trav can help you choose from reputable insurance providers. All insurance claims are governed by provider-specific policies.

9. User Responsibilities

As a user of our services, you are responsible for:

  • Ensuring all traveler details are accurate

  • Providing correct visa/passport documents

  • Adhering to timelines and deadlines for bookings, payments, and documentation

  • Complying with destination country laws and regulations

  • Having valid ID and health certificates (e.g., vaccination, RT-PCR reports, etc.)

We will do our best to guide you through everything, but you are responsible for double-checking final documents and arrangements.

10. Service Limitations

While Hey Trav works tirelessly to ensure every detail is covered, some issues may arise beyond our control:

  • Airline strikes, delays, or overbookings

  • Hotel mismanagement or unavailability

  • Visa appointment unavailability

  • Embassy processing delays

  • Force majeure (natural disasters, political unrest, pandemics)

We will support you in every situation, but we cannot offer compensation for delays, losses, or denial of services caused by third parties or external factors.

11. Intellectual Property

All content on Hey Trav’s website, brochures, proposals, and communications—including our slogan “Your trip should feel like you, not a brochure”—is the intellectual property of Hey Trav.

You may not:

  • Copy, reproduce, or distribute our content without permission

  • Share or reuse our itineraries for commercial purposes

  • Use our brand identity in any misleading or unauthorized way

Violation of this clause may lead to legal action.

12. Code of Conduct

We believe in respectful and honest communication. Hey Trav reserves the right to refuse or discontinue services if a client:

  • Uses abusive, harassing, or threatening language

  • Deliberately shares false information

  • Attempts fraud or payment default

  • Disrespects team members or third-party vendors

We also promise to treat every client with the utmost respect and integrity.

13. Third-Party Websites and Links

Our website or communication may include links to airline check-in portals, hotel sites, embassy appointment pages, and more. These links are provided for convenience only.

Hey Trav is not responsible for the content, privacy policies, or actions of third-party websites.

14. Feedback and Disputes

Your satisfaction matters. If you’re unhappy with any aspect of our service:

  • Contact us first via email at pranav@heytravnow.com

  • Provide booking reference and a short description of the issue

  • We aim to respond within 3 business days and resolve most concerns within 7–10 days

In case of unresolved disputes, they will be governed by the laws of India, and the courts of Delhi shall have exclusive jurisdiction.

15. Modification of Terms

Hey Trav may update these Terms periodically. Changes will be posted on our website and shared upon request. It is your responsibility to review the latest version before booking.

Your continued use of our services after updates constitutes acceptance of the new Terms.
